Job Summary

Provides secretarial, clerical, and administrative support to two College executives.

Essential Functions

  • Performs administrative duties; Creates, transcribes and disseminates correspondence, memos, agendas, minutes, reports, and policies and procedures.
  • Schedules appointments and assists with travel arrangements.
  • Arranges virtual and on-site meetings, and prepares and disseminates electronic documentation and presentations.
  • Answers the telephone, takes messages and refers calls to the appropriate individual.
  • Maintains and updates College documents, agreements, and records.
  • Communicates problems and alerts appropriate supervisory staff.
  • Maintains College payroll reports.
  • Assists with events on and off campus for College functions.

Physical Requirements


Physical ability to spend long hours sitting and using office equipment and computers. Extended use of normal or corrected vision to read hand-written, typed and computer-generated information. Hearing and speech ability sufficient to enable communication by telephone and in person. Manual dexterity sufficient to use standard office equipment and supplies and to manipulate both single sheets of paper and large document holders. Physical ability to reach, bend and grasp in order to file and retrieve materials. Occasional light lifting of supplies and materials.

Education, Experience and Certifications

High School Diploma or GED required. Highly prefer an associate or baccalaureate degree or graduation from a two-year secretarial program. 2 years of secretarial experience required. 1-year experience as a Staff Assistant in the System preferred. 3-5 years executive secretarial experience in a College, banking, or large corporate setting preferred. Highly proficient in the use of MS Word, Excel, PowerPoint, general computer applications and general office equipment.
