  • Effectively communicate with internal and external organizations and individuals to promote a professional and positive customer service image of the DC and MRM  team.
  • Knowledgeable of and adheres to Materials Resource Management and Distribution Center policies and procedures
  • Support the Materials Resource Management and Distribution teams with Supply Chain knowledge and expertise to further enhance the quantity, quality and value of services provided.
  • Performs work in a safe manner.
  • Perform other duties and projects as assigned by the Director, Assistant Director, or Manager, Distribution


  • PAR management
  • Determine and stock the most used and/or most critical items in the PAR room, as agreed with Clinical staff.
  • Set and routinely analyze/monitor PAR levels to ensure optimum PAR performance.
  • Direct the organization of the PAR store rooms to ensure ease of use by the Clinical and Distribution staffs.
  • Work through the Manager, Distribution Center and Inventory Quality Control Analysts to accomplish all PAR related physical work
  • Monitor use during the day to ensure adequate stock is available
  • Monitor restocking to ensure it was completed effectively
  • Create requisitions, if necessary, to restock off-cycle
  • Communicate timely to Clinical team of product shortages and substitution information
  • Manage physical PAR space to account for any substituted materials  
  • Bulk stock (oversight or monitor)
  • Work closely with Clinical staff to:
  • Establish appropriate items to be ordered as bulk versus PAR storage 
  • Routinely monitor volume to determine if a storage methodology change is needed
  • Establish appropriate levels of inventory 
  • Determine appropriate order patterns (daily or other)
  • Ensure timely ordering
  • Ensure timely receipt of bulk stock
  • Communicate with Clinical team status of any backordered items
  • Work with the DC Purchasing team to expedite if required
  • Communicate timely to the Clinical team of product shortages and substitution information.
  • Ensure substituted items are obtained in a timely manner by working with the DC Purchasing and Operations teams.  
  • Non-stock ordering

Work closely with Clinical staff to:

  • Monitor volumes to determine if an item should be a non-stock item or considered for stocking in the DC.
  • Establish appropriate levels of inventory 
  • Ensure timely ordering
  • Monitor open no-stock purchase orders
  • Work with Purchasing and hospital Operations team to ensure timely receipt and delivery of non-stock items
  • Communicate with the Clinical team the status of any backordered item.    
  • Establish and maintain key performance indicators (KPI’s) appropriate to effectively measure inventory management performance levels. This is to include, but not be limited to, daily census tracking and trending, material usage history, and STAT history.
  •  Report KPI’s to DC and Clinical leadership on a mutually agreed basis 
  • Effectively build relationships with Clinical leadership and team members
  • Actively engage Clinical leadership and/or staff on a daily basis to ensure departmental supply needs are being met.  This includes, but not limited to, attending daily shift huddles, establishing routine meetings with the Clinical leadership, and rounding during the shift
  • Work closely with Clinical Value Analysis (CVA) teams on new product introductions or changes to products currently being used are made Coordinate all activities of the add or conversion with the key parties involved (Clinical, CVA, and Distribution teams)
  • Participate in ARC meetings, and other clinical meetings that have Materials relevance
  • Support the Manager, Distribution Center in the management of product recalls  
  • Perform other duties and projects as assigned by the Director, Assistant Director, or Manager, Distribution


  • Cover for other Operations Coordinators when they are out on PTO or other reasons.


  • Daily activity will require standing, bending, stooping and sitting
  • Must be able to pull or push up to one hundred (100) pounds.
  • Must be able to lift forty (40) pounds.
  • Sight, hearing, and verbal communications capabilities sufficient to communicate with individuals and groups.


Bachelor’s degree in healthcare administration, business, and/or supply chain management is strongly preferred.  High school diploma accompanied by  healthcare supply chain experience. Knowledge and application experience of Lean Six Sigma methodologies a plus. Intermediate experience with Microsoft Office products. Intermediate experience operating McKesson Pathways (eMerald) software.General user knowledge of WLIB warehouse management system.
