Overview

PRIMARY PURPOSE

Responsible for managing daily operations, which encompass marketing initiatives, enhancing patient experience, overseeing materials management, facilitating software implementation, ensuring regulatory compliance, and maintaining equipment for the school-based virtual care sites.

Major Responsibilities

  • Training on point of care (POC) testing, telehealth devices, and associated workflows designed to enhance team members skills, ensuring both initial and ongoing competency. Serves as initial point of contact for support related to workflow, device troubleshooting and process related issues. 
  • Compliance – Ensure compliance with JACHO, CLIA, and OSHA. Maintain competency files for each teammate. Conducts annual skills check. 
  • Point of Care Testing - Ensure and maintain competency for point of care (POC) testing through initial and ongoing evaluations. Assess the effectiveness of quality control measures, identify any deficiencies, and offer education and solutions. Provide troubleshooting assistance and deliver regular updates and ongoing training regarding best practices.  
  • CLIA Management – initial and renewal – updates with medical director changes
  • Medical Director review of lab QC, review policies annually, review new policies & policy changes. 
  • Process Improvement – participation in Medical Group A3 process, monthly process improvement initiatives and assessment of daily operations. Propose changes to enhance efficiency and financial management. Evaluate systematic processes to identify opportunities for enhancement.  
  • Materials Management – conducting supply inventory assessments, developing and maintaining appropriate PAR levels, adjusting PAR levels as needed, ordering and managing supplies and evaluating the financial implications.  
  • Act as a liaison between AHF and the school IT department, possessing a comprehensive understanding of IT requirements to ensure seamless functionality. Demonstrate a strong familiarity with TytoCare and Epic, along with the ability to address and resolve IT issues in a timely manner. 
  • Project Management – Prepare and implement new school programs aimed at enhancing access to healthcare services. 
  • Act as a liaison between AHF and the School Public Relations department to facilitate the dissemination of marketing materials. Assist in facilitating communication between school leadership and AHF nurses to outline the services offered. Participate in school leadership meetings to provide education on services, upcoming events, and more. Promote and market services in high-traffic areas, including sporting events outside of school activities, housing authority events, and local holiday celebrations.
  • Serve as a liaison between AHF’s School Nurse Program and the Medical Group by fostering strong working relationships with school nursing colleagues, leadership, and healthcare providers. Enhance effective communication between school nurses and providers.
  • Management addresses system and operational challenges that negatively impact efficiency. We monitor revenue and patient volume, providing leadership with feedback on variances and potential opportunities for improvement. Additionally, we evaluate daily operations related to the telehealth process, identifying problem areas and implementing corrective actions promptly. Compliance with all policies is ensured. Coordination of provider schedules is also managed, ensuring appropriate coverage during absences.
  • Communication: Schedule regular formal and informal meetings with school nurses to foster collaboration. Mediate conflicts effectively and apply team-building and leadership skills to cultivate a positive work environment. Act as a constructive liaison among school nurses, leadership, and providers. Ensure timely responses to communications. Establish and maintain strong communication with the lab director. Coordinate with nurses and schools regarding any schedule changes.
  • Meetings – Participates in monthly lab coordinator meetings and monthly manager meetings. Responsible for distributing relevant information. Facilitates meetings with school providers and nursing staff to ensure optimal operational performance.
  • Equipment Management – Oversee the inventory of equipment, facilitate the ordering of new or replacement items, and address any equipment-related issues through troubleshooting

 

MINIMUM JOB REQUIREMENTS

High School Diploma

Certification / Registration / License

Work Experience

A minimum of five years of experience working in an ambulatory clinic

Proficient in electronic medical records (EMR), point-of-care testing (POCT), and sample processing

Knowledge / Skills / Abilities

Exceptional communication skills for engaging with individuals and groups effectively

Strong critical thinking to assess situations and formulate effective solutions

Proven ability to manage a high volume of work while meeting tight deadlines

Competence in handling sensitive and emotionally charged issues with professionalism.

Proficiency in Electronic Medical Records (EMR) systems

In-depth knowledge of laboratory sampling and processing protocols

Familiarity with Medicaid and commercial insurance systems

Skilled in interpreting data, financial statements, and reports

Understanding of medical coding and billing practices

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

Must be able to stand, sit for extended periods

Must be willing to travel and maintain reliable mode of transportation
