Overview

Job Summary:
Assists patients in scheduling appointments for ambulatory clinical care, ensuring a smooth and professional experience. Provides excellent customer service, answers calls courteously, and processes requests promptly. Responsible for accurate messaging and information. Escalates complex issues to a supervisor when needed.

Education/Experience:

  • High school diploma or GED required.
  • One year of office or customer service experience in a fast-paced environment.
  • Experience with phones and electronic messaging required.
  • Medical terminology and Spanish language skills preferred.

Licensure/Certification:

  • Must pass a departmental data entry test.

Essential Functions:

  1. Schedules, updates, and cancels appointments using computer systems.
  2. Ensures registration data, billing, and authorization records are accurate.
  3. Works with team members to meet departmental goals, such as call abandonment rates.
  4. Screens calls, documents scheduling details, and communicates with clinical departments.
  5. Assists with forms, maintains insurance documentation, and coordinates referrals.
  6. Identifies ways to improve customer service and resolves issues efficiently.
  7. Acts as a courteous liaison between patients, medical staff, and external agencies.
  8. Completes additional duties as assigned.

Work Environment:

Physical Requirements:

  • Primarily sitting, with occasional standing, walking, bending, and reaching.
  • Frequent use of hands for typing and phone handling.
  • Occasionally lifting up to 20 lbs.
