Overview

Job Summary:
Helps patients and referring practices schedule appointments in an ambulatory clinical setting. Provides professional and courteous customer service throughout the appointment-making process. Ensures accurate and timely messaging and assists with referrals from various sources such as phone, fax, or electronic systems.

Education/Experience:

  • High school diploma or GED required.
  • One year of office or customer service experience in a fast-paced environment.
  • Experience with phones, electronic messaging, and medical terminology preferred.
  • Knowledge of insurance and third-party payor requirements.

Licensure/Certification:

  • Must pass a departmental data entry test.

Essential Functions:

  1. Acts as a liaison between scheduling, clinics, and referring practices to maintain positive relationships.
  2. Schedules, updates, and cancels appointments using established guidelines.
  3. Screens calls, documents scheduling details, and communicates with clinical departments.
  4. Coordinates tests, consults, and other services among physicians, patients, and external labs.
  5. Schedules inpatient testing and surgeries, ensuring proper preparation and communication.
  6. Verifies insurance information, secures authorizations, and assists with billing and coding.
  7. Ensures accurate registration and billing data following departmental policies.
  8. Works with team members to achieve department goals, including call metrics.
  9. Maintains accurate documentation and assists with insurance and authorization requirements.
  10. Identifies opportunities to improve customer service and resolves issues efficiently.
  11. Updates physician calendars, clinic templates, and coordinates rescheduling as needed.
  12. Completes other duties as assigned.
