Overview

Job Summary:


Manages daily operations for a specialty surgical care team, coordinating schedules, appointments, and patient needs. Provides backup support for sub-specialty providers and ensures seamless operations during high-volume periods or staff absences.

Education/Experience:

  • High school diploma or GED required.
  • Three years of customer service experience with problem-solving under stress required.
  • Preferred: Experience in surgical specialties and medical terminology.

Key Responsibilities:

  1. Answer team phone lines and maintain low call abandonment rates.
  2. Schedule appointments, tests, and treatments, ensuring necessary authorizations.
  3. Coordinate outside studies and ensure results are available in the system.
  4. Align follow-up appointments with necessary tests or treatments.
  5. Facilitate physician communication and handle incoming calls.
  6. Cancel and reschedule appointments as needed.
  7. Review and ensure accuracy of digitized studies and images.
  8. Schedule ambulatory procedures and coordinate surgical activities.
  9. Process external referrals and follow up based on provider directions.
  10. Return patient calls and communicate instructions.
  11. Assist in training less experienced staff.
  12. Manage physicians’ travel and academic calendars.
  13. Handle urgent requests to ensure patient safety and outcomes.
  14. Address financial tasks like insurance authorizations and billing questions.
  15. Perform additional duties as assigned.

Skills/Qualifications:

  • Proficient in using multiple software systems simultaneously.
  • Self-motivated and able to work independently.
  • Positive attitude when interacting with patients and the public.

Work Environment:

  • Medical office setting.

Physical Requirements:

  • Primarily sitting, with occasional standing and walking.
  • Minimal lifting, up to 20 lbs.

This role requires strong organizational skills, multitasking abilities, and a commitment to supporting patient care and surgical team operations.
