Overview

Job Summary:
Schedules patient appointments, coordinates diagnostic tests, and performs advanced clerical tasks, including medical coding and financial coordination. Provides training, resolves patient concerns, and ensures proper billing and documentation.

Education/Experience:

  • High school diploma or GED.
  • Three years of clerical experience, with at least six months as a Patient Scheduling Coordinator or equivalent.

Certification:

  • Completion of certification program and adherence to accuracy standards.
  • BCLS certification within 30 days of hire.

Key Responsibilities:

  1. Schedule appointments using IDX system, prioritizing based on patient needs.
  2. Coordinate lab work and diagnostic tests, anticipating patient requirements.
  3. Make decisions regarding patient visit timelines based on chart reviews and experience.
  4. Coordinate tests and consultations among physicians, nurses, labs, and patients.
  5. Organize inpatient testing and transportation while considering urgency.
  6. Prepare patient charts for visits, ensuring all required information is included.
  7. Address patient inquiries, resolve issues, and accommodate special needs (e.g., interpreters).
  8. Train and support less experienced staff.
  9. Process billing information, perform medical coding, and ensure proper documentation.
  10. Schedule surgeries, secure precertifications, and provide patient instructions.
  11. Handle financial tasks such as insurance authorizations and billing assistance.
  12. Stay current on job responsibilities through training and certification programs.

Skills/Qualifications:

  • Knowledge of insurance requirements and ICD-9/CPT coding.
  • Data entry accuracy of 5000 kph with ≤3% error.
  • Ability to multitask in a clinical setting.
  • Experience with IDX, Medipac, and LastWord systems.
  • Strong focus on customer service.

Work Environment:

  • Well-lit, ventilated medical office.

Physical Requirements:

  • Primarily sitting, with occasional standing and walking.
  • Minimal lifting, up to 20 lbs.

This role requires excellent organizational skills, attention to detail, and the ability to work independently while maintaining a strong focus on patient care and customer service.
