Overview

Job Summary:

Supports a specialty surgical care team, including surgeons, APPs, and RNs, by managing daily operations, scheduling, and communications. Provides backup coverage for all subspecialty providers to maintain consistent operations.

Education/Experience:
  • High school diploma or GED required.
  • Three years of experience in a customer service role with problem-solving under pressure.
  • Preferred: Experience in surgical specialties and knowledge of medical terminology.
Licensure/Certification:
  • None required.
Key Responsibilities:
  1. Manage phone lines for the specialty care team, meeting abandon rate goals.
  2. Schedule appointments and tests, ensuring required authorizations are obtained.
  3. Order and track outside studies or therapy, ensuring results are available before appointments.
  4. Coordinate follow-ups with testing or treatment, ensuring results are uploaded into the system.
  5. Facilitate communication between physicians and handle urgent calls or peer-to-peer reviews.
  6. Cancel or reschedule appointments as requested by patients.
  7. Review digitized studies to ensure all images are accessible.
  8. Schedule ambulatory procedures, obtain pre-certifications, and coordinate with clinical staff.
  9. Process external referrals, completing follow-up tasks as directed by physicians.
  10. Return patient calls, communicate instructions, and schedule follow-ups as needed.
  11. Assist in training new staff.
  12. Manage physicians’ travel and academic calendars, ensuring accurate time-off tracking.
  13. Handle urgent patient requests, routing appropriately to ensure safety and outcomes.
  14. Address financial duties such as insurance authorization and patient billing inquiries.
  15. Perform additional duties as assigned.
Skills/Qualifications:
  • Ability to navigate multiple software systems for documentation.
  • Self-motivated and capable of working independently.
  • Positive attitude when interacting with patients and staff.
Work Environment:
  • Medical office setting.
Physical Requirements:
  • Sitting: Frequent (65%).
  • Standing/Walking: Occasional (up to 35%).
  • Lifting/Carrying/Pushing: Up to 20 lbs.
