Overview

Job Summary:
Supports a specialty surgical care team, typically consisting of two surgeons, APP, and RN support. Provides backup for sub-specialty providers and ensures smooth daily operations during busy periods or staff absences. Maintains consistent ambulatory schedules to support patient needs.

Education/Experience:

  • High school diploma or GED, with three years in a customer service role, showing problem-solving skills under pressure.
  • Experience with handling high call volumes and knowledge of medical terminology preferred.

Licensure/Certification:

Essential Functions:

  1. Manages incoming calls, maintaining call standards.
  2. Schedules appointments and tests, securing insurance authorizations as needed.
  3. Coordinates external studies and ensures results are available in the system before appointments.
  4. Schedules follow-ups with tests or treatments; ensures results are documented.
  5. Facilitates provider communication and manages calls, peer reviews, etc.
  6. Cancels and reschedules appointments per patient request.
  7. Verifies image accessibility from digitized studies.
  8. Coordinates ambulatory procedures and manages pre-certifications and authorizations.
  9. Routes external referrals and follows up per provider instructions.
  10. Communicates follow-up instructions to patients and schedules as needed.
  11. Assists in training new personnel.
  12. Manages physicians' travel and academic schedules and updates for call schedule planning.
  13. Manages urgent requests as per departmental guidelines.
  14. Handles insurance authorizations and assists with patient billing questions.
  15. Performs additional duties as assigned.

Skills/Qualifications:

  • Proficiency in multiple computer systems for data access and documentation.
  • Self-motivated, works independently, maintains a positive attitude with the public.

Physical Requirements:

  • Able to stand, walk, sit, bend, reach, and use hands frequently.
  • Must be able to lift, carry, push, or pull up to 20 lbs regularly and occasionally up to 50 lbs
