Overview

Job Summary:

Manages a specialty surgical care team, which includes at least two surgeons, APPs, and RN support. Provides backup coverage for other specialty teams when needed, ensuring smooth daily operations, especially during busy times or staff absences. All team members maintain ambulatory schedules to meet patient needs.

Education/Experience:
  • High school diploma or GED.
  • 3 years of experience in customer service, especially in high-stress situations.
  • Experience in surgical settings and familiarity with medical terminology preferred.
License/Certification:
  • None required.
Essential Functions:
  1. Answers calls for the specialty care team, meeting call handling standards.
  2. Schedules appointments and tests, ensuring authorizations are obtained.
  3. Coordinates external tests/therapies and ensures results are received before appointments.
  4. Schedules follow-up appointments, ensuring all test results are available in the system.
  5. Facilitates communication between physicians and schedules peer reviews.
  6. Cancels and reschedules appointments as needed.
  7. Reviews digitized study results to ensure they are correctly processed.
  8. Coordinates ambulatory procedures and obtains necessary authorizations.
  9. Manages external referrals and follows up as directed by physicians.
  10. Returns patient calls with follow-up instructions and schedules further tests/appointments.
  11. Assists in training less experienced staff.
  12. Maintains physicians' travel and academic calendars and updates schedules.
  13. Manages urgent requests to ensure patient safety and clinical outcomes.
  14. Handles financial tasks, such as insurance authorizations and billing questions.
  15. Performs other related duties as needed.
Skills/Qualifications:
  • Ability to navigate multiple software systems simultaneously.
  • Self-motivated and able to work independently.
  • Maintains a positive attitude when interacting with the public.
Work Environment:
  • Medical office setting.
Physical Requirements:
  • Standing, walking, sitting, bending, and reaching.
  • Ability to lift up to 20 lbs.
