Overview

Job Summary
Performs patient scheduling, check-out duties, and higher-level tasks like medical coding, financial coordination, and using the transaction editing system (TES) under general supervision.

Education/Experience

  • High school diploma or GED.
  • Three years of clerical experience, including six months as a Patient Scheduling Coordinator or similar role.

Licensure/Certification

  • Must complete certification and meet accuracy standards.
  • BCLS certification required within 30 days of hire.

Essential Functions

  1. Schedules appointments for new and returning patients using the IDX system.
  2. Coordinates lab work and diagnostic tests for patients, anticipating their needs.
  3. Makes scheduling decisions based on patient charts and urgency.
  4. Manages coordination between physicians, nurses, patients, and labs to ensure all tests and paperwork are complete.
  5. Schedules tests for inpatients, using discretion for timing and urgency.
  6. Ensures patient charts are fully prepared before visits.
  7. Answers questions about clinic policies and resolves patient issues.
  8. Helps train less experienced staff.
  9. Processes TES files and performs medical coding to ensure accurate billing.
  10. Coordinates surgeries, obtaining necessary pre-approvals and ensuring patients have all needed information.
  11. Handles financial tasks, such as insurance authorizations and helping with billing questions.
  12. Completes necessary educational programs and attends department meetings.
  13. Performs other related tasks as needed.

Skills/Qualifications

  • Knowledge of third-party payer requirements and basic ICD-9 and CPT coding (or willingness to learn).
  • Accurate data entry at 5000 kph with 3% or less error.
  • Ability to work independently in a busy clinical environment and multitask.
  • Experience with IDX, Medipac, and LastWord.
  • Familiarity with managed care or health insurance.
  • Strong customer service focus.

Work Environment

  • Medical office environment that is well-lit and ventilated.

Physical Requirements

  • Standing, walking, sitting, bending, and reaching.
  • Ability to lift up to 20 lbs frequently.
