Overview

Job Summary
Under general supervision, handles patient scheduling, check-out duties, and higher-level tasks like medical coding, transaction editing, and financial coordination.

Education/Experience

  • High school diploma or GED.
  • Three years of clerical experience, with at least six months as a Patient Scheduling Coordinator or similar role.

Licensure/Certification

  • Certification required with accuracy standards.
  • BCLS certification required within 30 days of hire.

Essential Functions

  1. Schedules appointments for new and returning patients using the IDX system.
  2. Coordinates lab work and diagnostic testing, anticipating patient needs.
  3. Makes decisions on scheduling based on patient charts and urgency.
  4. Coordinates testing among doctors, patients, nurses, and labs to ensure all necessary steps are completed.
  5. Schedules testing for inpatients, considering urgency and test requirements.
  6. Prepares patient charts before visits, ensuring they are fully completed.
  7. Answers questions about clinic policies, resolves patient issues, and provides customer service.
  8. Helps train new staff as needed.
  9. Processes transaction editing system (TES) files and performs medical coding for billing.
  10. Schedules surgeries and ensures all necessary information and pre-certifications are obtained.
  11. Handles financial duties, such as insurance authorization, coding assistance, and patient billing questions.
  12. Completes required training and participates in department meetings.
  13. Performs other related tasks as assigned.

Skills/Qualifications

  • Knowledge of third-party payor requirements.
  • Basic knowledge of ICD-9 and CPT coding or willingness to learn.
  • Data entry accuracy of 5000 kph with a 3% or less error rate.
  • Ability to work independently and multitask in a busy clinical setting.
  • Experience with IDX, Medipac, and LastWord.
  • Familiarity with managed care or health insurance.
  • Strong focus on customer service.

Work Environment

  • Well-lit and ventilated medical office environment.

Physical Requirements

  • Standing, walking, sitting, bending, and reaching.
  • Able to lift up to 20 lbs frequently.
