Overview

JOB SUMMARY:  

Under limited supervision, responsible for the daily supervision and operation of a small group of Clinical Services Coordinators and other related personnel. Participates in activities associated with the scheduling of patient appointments, registration, and medical records coordination. Formulates and implements procedures related to supervisory areas. Coordinates the scheduling flow and template builds for the department.  Works closely with the Access Center to ensure the accuracy and timeliness of patient scheduling.  Works closely with providers to ensure the accuracy of daily appointment schedules, including the cancelling, re-opening and the rescheduling of patients in a timely manner.  Ensures the accuracy and validity of patient insurance and provides oversite for the authorization of clinical, procedural and surgical visits.

       

EDUCATION/EXPERIENCE: 

High school diploma or GED equivalent with four years office or clerical experience, two years of which include reception or office coordination experience; or, an equivalent combination of education and experience.  Experience in the department, knowledge of medical terminology, and prior supervisory experience preferred.

 

LICENSURE, CERTIFICATION, and/or REGISTRATION:  N/A

 

ESSENTIAL FUNCTIONS: 

  1. Provides daily supervision and guidance to small group of Clinical Services Coordinators and a Medical Records Clerk.
  2. Completes performance evaluations on all personnel supervised. 
  3. Recommends all personnel actions regarding assigned employees. 
  4. Oversees orientation and training of all Patient Scheduling Coordinators and Medical Records Clerk.   
  5. Initiates, revises, and updates procedures that involve the Clinical Services Coordinators and other assigned staff. 
  6. Collaborates with other supervisors in department to resolve problems between and among the various areas.
  7. Responsible for complete knowledge and ability to perform all duties and responsibilities of each employee supervised. 
  8. Performs staff duties when necessary to ensure timely completion of duties. 
  9. Coordinates various personnel functions including hiring and vacation schedules.
  10. Manage and update General Dermatology and Dermatologic Surgery templates for all providers.
  11. Make clinic adjustments due to clinic closures and/or abbreviate time adjustments as needed for all providers.
  12. Daily reconciliation of PSR collections.
  13. Assist transcribing orders from on-base work queue.
  14. Maintain and update Dermatology protocol.
  15. Manage/Coordinate all patient reschedules/telephone notification.
  16. Communicate all scheduling/template changes with appropriate staff.
  17. Assist Access Center staff and providers for expedited patient appointments.
  18. Evaluate/Monitor schedules and communicate clinic needs.
  19. Work closely with Residents to organize clinic schedules/needs.
  20. Performs other related duties incidental to the work described herein. .
