Overview

Job Summary: 

Responsible for the management and supervision of the Concierge services for Carlyle Place. Responsible for handling a wide range of administrative, clerical and executive support tasks for the Executive Director of Central Georgia Senior Health, Inc, (DBA/Carlyle Place) as well as its Board and related committees.  Responsible for the daily operations to include all electronic and hard copy correspondence, telephone reception, filing, assistance with special events, and committee meeting setups to include agendas and minutes. Interacts with staff (at all levels) in a fast paced environment, exercises independent judgment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality. 

 

Essential Functions:

Provides administrative support for the Executive Director, including arranging meetings, composing minutes, mailings, maintaining files and records, directories and contact information, maintaining calendar, ordering office supplies for all administrative departments, and preparing required reports and manuals.

Monitors all policy and procedure manuals to insure appropriate changes, content is complete, and format is appropriate.

Remains highly familiar with the Resident Handbook and resident policies. Enhances positive resident relations by contacting residents who are ill or who have special needs, acting in an ombudsman capacity and responding in a timely fashion to resident queries.

Responsible for oversight of the hiring, training and management of the concierge staff.  Ensures all human resource activities in conjunction with managing the Concierge services are completed in a timely manner, including posting of positions, hiring, training, scheduling, conflict resolution and evaluation activities.  

 

Education, Experience and Training:

Must be a High School or GED Diploma Graduate.   Associate Degree required; B. A. Preferred.

Five years experience as an Administrative/Executive Assistant.

Must be proficient in Microsoft Office applications.
