Overview

JOB SUMMARY: 

Under general direction, performs a wide variety of administrative duties in support of a Medical Center senior executive (e.g., Executive Vice President, Dean, etc.) frequently interacting with high-level officials, board members and leadership. Requires the ability to act as an extension of the executive, thinking and planning ahead, in order to manage his/her time in the most effective and efficient manner. Responsible for complex calendar management, travel and meeting/event coordination and project support. 

EDUCATION/EXPERIENCE: 

Associate's degree in Business Administration or related field of study with four years administrative assistant experience at the senior level; or, an equivalent combination of education and experience.

ESSENTIAL FUNCTIONS:

1. Functions as point of contact for executive. 2. Anticipates needs of executive. Arranges, coordinates, prepares meeting materials, and receives direction from others to apprise leader, so he/she is as prepared and organized as possible. 3. Manages the executive's calendar by making decisions about requested meetings, discusses with executive as appropriate, and schedules locations and resources needed. 4. Optimizes executive's travel schedules and expedites expense report. 5. Responds to inquiries and sensitive questions in a professional manner, and takes initiative to refer to the most appropriate Medical Center official. 6. Provides administrative support at meetings of significance. 7. Assists in administration of departmental budget. 8. Manages a wide variety of projects through planning, implementation and evaluation. Oversees the work of contributors. Prepares periodic analyses and reports reflecting progress and trends. Identifies opportunities for improvement and facilitates implementation as appropriate. 9. Compiles confidential Medical Center information using judgment and discretion as to appropriate action. 10. Composes correspondence and signs on behalf of executive as appropriate. 11. Coordinates administrative support functions of office. 12. Directly supervises or leads administrative staff in department. Oversees recruitment of positions, job performance and facilitation of duties.
