Overview

Job Summary:

Manages a specialty surgical care team consisting of surgeons, APP, and RN support. Provides backup coverage for sub-specialty providers and ensures smooth daily operations during absences. Coordinates ambulatory schedules to meet patient needs.

Education/Experience:
  • Required: High school diploma or GED, three years of customer service experience, ability to resolve problems under stress.
  • Preferred: Experience in a surgical specialty environment, knowledge of medical terminology.
Licensure, Certification, and/or Registration:
  • None required.
Essential Functions:
  1. Phone Management: Answers calls for the specialty care team, maintaining low abandon rates.
  2. Scheduling: Schedules patient appointments and tests, obtains necessary authorizations.
  3. Orders and Results: Orders outside tests/therapy, ensures results are available before appointments.
  4. Follow-Up Coordination: Aligns follow-up appointments with tests/treatments, ensures results are loaded into the system.
  5. Communication Facilitation: Manages physician-to-physician communication and directs calls.
  6. Appointment Management: Cancels and reschedules appointments as needed.
  7. Review Studies: Ensures all images from studies are downloaded and accessible.
  8. Procedure Coordination: Schedules ambulatory procedures, coordinates activities between residents and faculty.
  9. Referral Management: Manages external referrals and follows up as directed.
  10. Patient Communication: Returns patient calls and schedules appointments/tests as instructed.
  11. Training Support: Assists in training new personnel.
  12. Calendar Management: Manages physicians' travel and academic schedules, updates call schedules.
  13. Urgent Requests: Manages urgent requests for patient safety and clinical outcomes.
  14. Financial Duties: Handles insurance authorizations and assists with billing questions.
  15. Other Duties: Performs additional tasks as assigned.
