Overview

Job Summary:

Assist patients with scheduling appointments in a friendly and professional manner. Answer phones courteously, process requests promptly, and ensure accurate and complete messaging regarding appointments or information. Maintain excellent customer service and telephone etiquette. A supervisor is available for escalated issues.

Education/Experience:
  • High school diploma or GED.
  • One year of office or clerical work in a customer service role.
  • Experience in a high-volume, fast-paced environment, answering phones, and using electronic messaging.
  • Preferred: Medical terminology and bilingual in Spanish.
Licensure, Certification, and/or Registration:
  • Pass a departmental data entry test.
Essential Functions:
  1. Use computer programs to schedule, update, and cancel appointments.
  2. Follow policies and procedures for accurate registration data, billing, and authorization records.
  3. Collaborate with co-workers to meet department goals, including call rate targets.
  4. Screen calls, deliver messages, document scheduling information, and communicate with clinical departments.
  5. Assist with patient care documentation, insurance requirements, and obtaining referring clinic documentation.
  6. Help improve customer service and solve problems.
  7. Act as a liaison between patients, medical staff, and outside agencies.
  8. Perform other related duties as assigned.

  • Ability to maintain professional relationships with patients, physicians, co-workers, and supervisors.
